Account and team

Profile settings, inviting members, roles, switching workspaces.

Apexium accounts are user-scoped (one login, many possible workspaces). This page covers managing your personal account + your team's workspace membership.

Profile settings

Head to Settings → Profile. You can change:

  • Full name — displayed in the header chip + the activity log (audit trail)
  • Avatar — uploaded image OR Gravatar (auto-fetched if no avatar set)
  • Email — your primary login email. Changing this requires email verification on the new address (and signs you out on completion).
  • Password — standard reset flow; current password required.
  • Theme + locale — UI preferences; saved per-user (not per-workspace).

Inviting teammates

Head to Settings → Members → Invite. Enter the email of the person you want to invite + pick a role (see below). Apexium sends them an invite email with a one-click sign-up link.

Invites:

  • Expire after 7 days (unaccepted invites auto-cleanup; you can re-invite anytime).
  • Bring the invitee's existing Apexium account into your workspace if they already have one elsewhere (no second account; they pick your workspace from the workspace switcher).
  • Count against your plan's users cap. Hitting the cap blocks new invites until you upgrade or remove an existing member.

To revoke a pending invite: Settings → Members → [pending invite] → Revoke.

To remove an active member: Settings → Members → [member] → Remove. Removal:

  • Sets membership.status = 'removed' (preserves audit trail).
  • Removed user loses access immediately.
  • Their historical actions stay attributed to their email in the audit log.

Roles and permissions

Three system roles per workspace:

Owner

  • Full workspace access including billing + tenant settings.
  • Can invite/remove other owners + admins + members.
  • At least 1 owner always required; the system prevents removing the last active owner.

Admin

  • All owner permissions EXCEPT tenant.manage (workspace deletion) and tenant.billing (subscription changes).
  • Can invite/remove admins + members.
  • Right role for day-to-day operations team.

Member

  • Read access to most surfaces (contacts, deals, workflows, etc.).
  • Write access to contacts + deals.
  • NO access to settings (members, billing, white label, etc.).
  • Right role for sales reps or contributors.

(Custom roles with non-system permission sets ship with the FA-Whitelabel agency-mode release for sub-tenant scenarios.)

Switching workspaces

If you belong to multiple workspaces (e.g., your own + a client's where you're an invited admin), the header has a workspace switcher (top-left). Click it to see all workspaces you're a member of; click one to switch.

Switching is a full session swap (per FA-1.7c internal-email mapping discipline) — you sign in fresh to the chosen workspace's session. URL state isn't preserved across switches; you land on the target workspace's dashboard.

Account-wide settings

Some settings live on YOU (not on a specific workspace):

  • Profile (name, email, password, avatar)
  • Theme + locale preferences
  • Email notification preferences (digest cadence; alert routing)
  • Session security (active sessions list; sign out all)

These persist across all workspaces you're a member of.

Deleting your account

To delete your account entirely (not just a workspace membership):

  1. Leave or be removed from every workspace first (you can't delete an account that's the sole owner of a workspace; transfer ownership or delete the workspace first).
  2. Email support@apexium.team with subject "Delete my account" from the email on the account.
  3. We confirm + execute within 5 business days; data deletion follows our retention policy (FA-Compliance release will surface this as a self-serve flow).

If you only want to leave a workspace (not delete your account): Settings → Members → [your row] → Leave workspace.

What to do next

  • Configure your profile so your name + avatar surface correctly in the audit log.
  • Invite teammates — workflows + broadcasts are stronger with multiple eyes on them.
  • Review who has what role; default new hires to Member, promote to Admin only as needed.
